Installed assets and product safety

Build a Property asset register, keep product identifiers structured and use reviewed safety-match evidence without turning taxonomy or fuzzy text into a recall decision.

Before you begin

  • Open the correct Job linked to the Property where the fixed equipment is installed.
  • Record product identifiers from the equipment or reliable documentation where practical.

Build the Property asset register

    Open Jobs and choose the correct Job and linked Property.

    Open Installed assets & safety identity and choose Add installed asset.

  3. 3

    Choose the most accurate asset type from the shared taxonomy. Commercial and industrial choices include switchboards, MCCs, transformers, generators, UPS, ATS, motors, drives, metering and building-services equipment.

  4. 4

    Enter a clear asset name and physical location, then add manufacturer, model, product code, batch and serial identifiers where available.

  5. 5

    Add installation, warranty and service dates only when you have reliable operational information, then save the asset.

Taxonomy and legacy asset types

Asset type is classification metadata; the canonical durable record remains InstalledAsset. Choosing a different type does not create a second asset and does not change its Property ownership.

Older or custom asset-type values are preserved when you edit an existing record. VoltMate does not silently replace an unknown stored value with the first controlled option.

The taxonomy helps organise domestic, commercial and industrial equipment, but it is not a compliance or safety verdict.

Review product-safety matches

    Open Safety check on the installed asset you want to review.

  2. 2

    Compare the asset's structured manufacturer, model, product code, batch and serial details with the official notice evidence shown by the workflow.

  3. 3

    Treat candidate matching as a review task. Confirm or reject a match only from the available evidence and the real installed product identity.

  4. 4

    If product identity changes later, review reopened safety matches before relying on the previous result.

Saving an asset, choosing an asset type or receiving a candidate match does not mean the product is recalled or unsafe. A confirmed safety decision must come from reviewed official notice evidence.

Location, topology and history boundaries

  • Asset type answers what the equipment is; the Location field answers where it is installed.
  • Electrical topology answers how equipment is supplied or connected and is a separate model from taxonomy.
  • Changing an asset type or location does not rewrite historical inspections or issued certificate snapshots.
  • Do not create duplicate Installed Assets merely because the same equipment appears in a topology, certificate or another Job.

Common mistakes

  • Creating a second asset instead of updating the existing durable InstalledAsset record.
  • Selecting a broad or convenient asset type and treating it as proof of the actual product identity.
  • Guessing manufacturer, model, serial or batch data from job notes, photographs or AI output.
  • Treating a candidate Product Safety match as a confirmed recall without checking official evidence.
  • Replacing an unfamiliar legacy asset type just to make the edit form look standard.

Troubleshooting

If an existing asset shows a type that is not in the controlled list, keep the preserved custom value unless you deliberately intend to reclassify that asset.

If Product Safety matching is weak or unavailable, improve the structured identifiers first. Exact manufacturer/model/product/batch/serial evidence is more useful than vague names or notes.

If an asset appears under the wrong Property, correct the authoritative asset/work relationship rather than creating a duplicate copy.
