- Be signed in to the VoltMate account that owns the records.
When to use clients and jobs
Use Clients for customer/contact records and Jobs for the actual work you plan, carry out or track. A job can then sit inside the wider Client → Job → Quote/Invoice/Inspection workflow instead of repeating customer details in disconnected records.
Create and organise work

Open Clients and search for the customer before creating a new record.

Create the client only if the correct record does not already exist.

Open Jobs and create the work record against the correct client.

Add the scope, dates and internal notes needed for the job. Reusable templates can be inserted where the workflow offers them.

Use Calendar for scheduled work and return to the linked client/job instead of creating a second copy.
Permissions and ownership
Client and job API operations are scoped to the signed-in VoltMate account. A record ID by itself is not intended to grant access to another account's data.
Common mistakes
- Creating a second client because the existing record was not searched first.
- Attaching a job to the wrong client and then building downstream documents from it.
- Putting information intended only for internal use into a field that may later be shared with a client.
Troubleshooting
If a linked client is missing when creating a job, confirm you are signed into the correct account and that the client still exists there. If a save fails, do not create repeated copies until you have confirmed whether the original request succeeded.
