1. The service and these terms
VoltMate is operated in the United Kingdom as a sole-trader business using VoltMate as its trading name. It is a UK-focused software workspace for electrical business administration, inspection and certificate records, technical assistance and community discussion. These Terms apply when you access or use VoltMate. The Privacy Policy, Data Processing Addendum, Cookies & browser storage page, Community guidelines and Refunds & Cancellations policy provide additional information and form part of the service rules where relevant.

2. Accounts, authority and responsible use
Provide accurate information, protect your credentials and tell us if you suspect unauthorised access. You must have legal capacity to use the service and authority to act for any business or organisation whose records you manage.
Do not bypass access controls, access another person’s workspace without authority, upload malicious material, impersonate others, send spam, misuse reporting systems, interfere with the service or use VoltMate unlawfully.
3. Professional responsibility and electrical safety
You remain responsible for competence, safe working practices, measurements, observations, declarations and the work you perform. VoltMate does not inspect an installation, approve an electrician or guarantee electrical safety or compliance. Follow applicable legislation, standards, manufacturer instructions and relevant professional requirements.
Technical references, calculators, regulatory summaries and AI-assisted output are aids. Check their assumptions, inputs and source material for the particular job. Do not rely on a software result as the sole basis for safety-critical action.
4. Certificates, records and sharing
Check information before issuing a certificate. Issued versions preserve a recorded history; amendment and void workflows do not silently overwrite previous issued versions. Public verification checks the recorded lifecycle and integrity information, not the quality of the physical electrical work. A void record does not become valid because its historical integrity check passes.
Use sharing and client-portal controls carefully. You are responsible for choosing the intended recipient and having authority to disclose the shared information. Keep appropriate exports and business-continuity arrangements for records you need to retain independently.
5. AI-assisted features
AI responses may be inaccurate, incomplete or unsuitable. Review them before using them or including them in a professional document. AI output is not authoritative standards text, certification, legal advice or a substitute for competent assessment. Do not submit third-party confidential or personal information without an appropriate basis and only provide what is necessary for the task.
6. Plans, prices and contract formation
The Free plan is £0. The current VoltMate Pro list price is £29 per month or £290 per year. The annual plan is billed £290 upfront for 12 months, which is approximately £24.17 per month and saves £58 compared with 12 monthly payments at the current monthly price.
Free or complimentary access does not create a charge. A paid subscription begins only after you deliberately choose a paid plan, accept the recurring billing terms and complete Stripe Checkout. Before payment, the service identifies the plan, billing interval and price and links you to these Terms and the Refunds & Cancellations policy.
A paid subscription contract is formed when checkout is successfully completed and the subscription is accepted and activated. The public pricing display and checkout confirmation show the applicable amount due for the selected billing interval. VoltMate does not add hidden mandatory VoltMate fees after you confirm the purchase.
7. Recurring billing, cancellation and refunds
Paid subscriptions renew automatically at the selected monthly or annual interval until renewal is cancelled. Monthly Pro renews monthly at the applicable monthly price; annual Pro renews annually at the applicable annual price. You can manage renewal through Dashboard → Plan & subscription → Manage billing, or contact support. Cancelling renewal normally stops the next charge while leaving access available until the end of the current paid period, unless a cooling-off right, refund or other legal remedy applies.
The Refunds & Cancellations policy explains VoltMate’s 14-day new-subscription refund promise, the annual-renewal grace period, billing-error remedies and how to request a refund. That policy does not reduce mandatory statutory rights.
8. Complimentary access and plan changes
Complimentary Pro can have a stated expiry or no set expiry and can be revoked by an authorised administrator. Expiry or revocation returns the account to its otherwise applicable access and does not start a charge. It does not cancel an independently existing paid subscription.
Where a paid plan or price changes for a future billing period, VoltMate will provide information about the change in advance where required and will not use a general terms update to disguise a charge that should require separate notice or consent.
9. Consumer rights
VoltMate is designed primarily for electricians and electrical businesses. If you contract wholly or mainly outside your trade, business, craft or profession, you may qualify as a consumer. Nothing in these Terms removes or limits mandatory consumer rights, including rights relating to pre-contract information, cancellation, reasonable care and skill, digital content or services, repeat performance, price reduction and refunds where applicable.
Any lawful effect of asking for a service or digital content to begin during a statutory cooling-off period depends on the applicable rules and any required express request, consent or acknowledgement. These Terms alone do not waive a statutory cooling-off right.
10. Your content and community participation
You retain rights in original content you lawfully submit. You give VoltMate the permissions reasonably needed to host, process, transmit, display and generate the outputs you request, including displaying material you deliberately publish to the Community. This is not a transfer of ownership.
Follow the Community guidelines. Do not publish unlawful, abusive, infringing, dangerous, fraudulent or misleading content, or unnecessary personal information. Member posts are their authors’ contributions and do not constitute VoltMate’s endorsement.
11. Moderation, suspension and account closure
VoltMate may moderate Community content and may restrict access where reasonably necessary to address a material breach, unlawful use, abuse, fraud, a serious security risk or harm to other users. Where appropriate, action should be proportionate and you can contact support to request review.
You can request account closure and an export of available records. Closure and erasure are handled under the Privacy Policy, retention rules and any legal obligations that require particular records to be kept.
12. Availability and service changes
We may maintain, secure, improve or change the service. We do not promise uninterrupted availability, but we will not use this clause to remove rights that cannot lawfully be excluded. Where practical and legally required, we will give notice of material changes affecting paid access or contractual rights.
13. Intellectual property
The software, branding and original product material belong to their respective rights holders. Your use does not grant a right to copy, reverse engineer, resell or redistribute protected software, branding or third-party standards except where law or an applicable licence permits it.
14. Liability
Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability for fraud or fraudulent misrepresentation, or death or personal injury caused by negligence. These Terms do not remove mandatory consumer rights.
VoltMate supports professional workflow and record keeping; it does not take over the electrician’s professional duty to inspect, test, assess and work safely. Whether VoltMate is responsible for a particular loss depends on the contract, the facts and applicable law.
15. Complaints, notices and dispute resolution
Send complaints through Contact, describing what happened and the outcome you are seeking, or email support@voltmate.co.uk. We may ask for information reasonably needed to investigate. A consumer is not prevented from using any regulator, accredited dispute-resolution route or court available under applicable law.
Material changes to these Terms will be dated and notified where appropriate. If a change requires fresh consent rather than notice, we will ask for it before relying on the change.
16. Governing law
These Terms are governed by the law of England and Wales, subject to any mandatory law that applies to you. If you are a consumer, this clause does not deprive you of protections or court rights that cannot lawfully be excluded in the part of the United Kingdom where you live. Business users agree that the courts of England and Wales will have jurisdiction, except where the parties agree otherwise or mandatory law requires another forum.
17. Data processing for business workspace records
Where you or your organisation determines the purposes of processing personal data placed in a VoltMate workspace and VoltMate processes that data on your documented instructions, the Data Processing Addendum forms part of these Terms and sets out the Article 28 processor terms for that processing.
The Privacy Policy explains the separate circumstances in which VoltMate acts as controller for its own account administration, billing, support, security, service operations and other purposes determined by VoltMate. If the Data Processing Addendum conflicts with these Terms on a processor-specific matter, the Data Processing Addendum prevails for that matter.
