Before you begin
- A VoltMate account. The equipment register is included in every plan.
- The instrument's make, model, serial or asset number and its current calibration date.
What the register does
The register lists each instrument with its category, make and model, serial or asset number, calibration or verification due date, service or inspection due date and serviceability status.
The cards at the top count your registered instruments, those marked serviceable, those needing calibration attention, and those whose service date or status needs attention.
Register an instrument
- 1
Open Equipment and choose Add equipment.
- 2
Enter the Equipment name and choose the Category, for example Multifunction tester, Insulation-resistance tester, Loop tester, RCD tester, Voltage indicator or Proving unit.
- 3
Add the Manufacturer, Model and Serial / asset number, and the Purchase date if you have it.
- 4
Enter the Calibration / verification due date and the Service / inspection due date.
- 5
Save. New instruments start as Serviceable.
Review calibration, service and status
- 1
Choose Review on the instrument.
- 2
Set the Serviceability status: Serviceable, Inspection required or Out of service.
- 3
Update the calibration and service due dates after a calibration or service.
- 4
Record what happened in Review notes, for example the calibration certificate number, a service result or a defect.
- 5
Save the review. The instrument's dates and status update in the register.
Where the register is used
- Coming up on the Overview lists instruments whose calibration or service falls due within a month, overdue ones first.
- With reminders in your plan, Notifications can email you before calibration, verification, service and inspection dates.
- In Settings, Certificate defaults lets you choose a default test instrument for new certificates.
Common mistakes
- Leaving an instrument marked Serviceable after it has failed a check or gone out of calibration.
- Forgetting to move the calibration due date on after a new calibration certificate is issued.
- Registering the same instrument twice instead of reviewing the existing record.
Troubleshooting
If an instrument does not appear, clear the search box and filters. If a date shows as Invalid date, open Review and enter the date again in the UK day-first format.
