Calendar and scheduling

See your week of jobs and appointments in one place, add calendar-only events and keep each job's booking in step with the job itself.

Before you begin

  • A VoltMate account. Calendar is included in every plan.
  • Jobs appear on the calendar once they have a scheduled date and time.

What Calendar shows

Calendar shows one week at a time, Monday to Sunday, with each day's jobs and events in time order. Jobs appear automatically from their scheduled date and time; you do not add them twice.

Standalone events are for things that are not a job: an appointment, an inspection visit you have not set up as a job yet, or admin time. Each type has its own colour, and completed events are shown faded.

Add a calendar-only event

    Open Calendar and choose New event.

    Enter a Title and choose the Type: Appointment, Inspection or Admin.

  3. 3

    Add the Client, Start and End times, and a Location if useful. Dates use the UK day-first format.

    Optionally enter the Job reference of an existing job to connect the event to it, and add Notes.

    Choose Save event. The event appears on its day straight away.

New event creates a calendar entry only. To book chargeable work with its own reference, client, value and job notes, use New job; the job then appears on the calendar by itself.

Move around and update events

  • Use the arrows to move a week back or forward, and Today to return to the current week.
  • Mark completed on an event records that it happened; Mark scheduled reverses it.
  • The delete button on an event removes that calendar entry after you confirm. Deleting a job's calendar entry does not delete the job; saving the job again puts its entry back.
  • To change a job's date or time, edit the job itself so the job and its calendar entry stay the same.

Common mistakes

  • Creating a calendar event for chargeable work instead of a job, which leaves the work without a job reference, value or notes.
  • Rescheduling a job by deleting its calendar entry instead of changing the job's scheduled date.
  • Typing a job reference that does not exist; the event is refused until the reference matches one of your jobs.

Troubleshooting

If a job is missing from the week you expect, open the job and check its scheduled date and time. If the calendar shows an error instead of events, check your connection and reload the page; nothing is lost by reloading.
