Before you begin
- A plan that includes reusable templates (Pro).
What templates are
Reusable line items are priced lines for labour, materials and repeat work, each with a name, description, category, default quantity, unit and unit price. Each line is available for quotes only, invoices only, or both.
Text templates are reusable wording: general text, quote terms and notes, invoice payment terms and notes, job scopes and notes, and inspection notes.
Create a template
- 1
Open Templates.
- 2
Choose New line item, enter the name, description, default quantity, unit and unit price, and choose where it is available.
- 3
Or choose New text template, enter the Template name, choose its category and write the Content.
- 4
Save. The template is ready to insert straight away.
Insert a template
- 1
On a new quote or invoice, search saved lines and choose the line to add. A blank line is replaced rather than left empty, and the totals update.
- 2
On a new job, use Saved job text to insert a scope of work or internal note.
- 3
In an inspection, insert saved inspection notes. You still review the wording for the installation in front of you.
Changing a template later
Inserting a template copies its content into the record. Changing or deleting a template never rewrites an existing quote, invoice, job, inspection or issued certificate.
Inspection note templates are a writing aid. Classifications, test results and declarations remain the competent person's own judgement for each installation.
Common mistakes
- Expecting a price change in a template to update quotes already sent.
- Making a line available for quotes only and then looking for it on an invoice.
- Inserting generic inspection wording without checking it against the installation.
Troubleshooting
If a template does not appear when you search, check its Available for setting and category, and clear the search box. If saving fails, check that the name and the description or content are filled in.
