Business analytics

Understand revenue, money owed, quote conversion, completed jobs, client value and certificate activity from the records you have already saved.

Before you begin

  • A plan that includes business analytics (Pro).

What Analytics shows

Every figure is calculated from your saved records when you open the page. Draft and void invoices are left out of revenue.

  • Revenue overview: invoices issued this month compared with last month, payments recorded, issued value, outstanding balance and average invoice, with the last six months.
  • Open receivables: unpaid issued invoices, what is overdue and how long by.
  • Quote conversion: how many customer-facing quotes were accepted and how many went on to be invoiced.
  • Jobs completed over time: completed jobs and their value month by month.
  • Client value & activity: each client's issued invoice value, payments and outstanding balance with their latest activity.
  • Certificate & inspection activity: inspections and issued certificates over recent months.

Use Analytics

  1. 1

    Open Analytics from the sidebar.

  2. 2

Read each panel from its headline figures down to its list.

  3. 3

Use a panel's link to open the related list, such as your invoices, when you need the detail.

  4. 4

Check the source record, such as an invoice's status or payment, when a figure is not what you expect.

What the figures are not

Analytics summarises your VoltMate records. It is not accounting, tax or VAT advice and does not replace your bookkeeping. A new account shows zeros until records are saved.

Common mistakes

  • Expecting a draft invoice to count as revenue before it is sent.
  • Recording a payment outside VoltMate and not on the invoice, so it still shows as outstanding.

Troubleshooting

If a panel shows that it is unavailable, use Retry or reload the page. The other panels keep working, because each one loads separately.
